Eugene Craft Beer Coordinator

Bigfoot Beverages of Eugene is recruiting for a Craft Beer Coordinator position. The Craft Beer Coordinator will provide administrative support and assistance to the Director of Craft Beer.  This position will prepare and organize CPC information, sales reports and customer history to assist with budget reviews and brewery/supplier meetings.  Accountable for the accurate inventory and product costs in the price book through annual set-up and bi-weekly review.  Analyze, evaluate and produce sales-related reports to assist the Craft Beer Department with overall sales productivity. Works closely and has exceptional communication with the Director of Craft Beer, KAM Craft Beer and suppliers. This is a full-time, exempt level position.  The schedule is Monday through Friday with some weekend work as necessary.  The regular shift start time is 8:00 am – 5:00 pm with additional hours based on daily need.  



Essential Functions

  1. Maintain VIP system with new item set-up/activation, updated suppliers, inventory and pricing.  Work closely with suppliers to resolve any pricing discrepancies, errors or changes that need to be updated.
  2. Organize and execute incentive details by providing current information to the sales team and preparing the scorecard for weekly meetings.  Ensure accurate tracking of incentives and compile final results for approval by the Director of Craft Beer.
  3. Assist Craft Beer Director in brewery/supplier meetings by managing list of suppliers and scheduling meetings for annual business plans each year. Prepare sales, customer history and CPC information prior to brewery meetings.
  4. Prepare, organize and review expense budget with Director of Craft Beer.  Provide detailed and updated CPC information for budget review process.
  5. Partner with the Pricing Coordinator to ensure efficient and detailed annual set-up of the price book.  Maintain accurate inventory and product costs through bi-weekly review.
  6. Collect, analyze and produce sales data through standardized and custom reports to assist with the overall sales productivity of craft beer. 
  7. Act as a resource for suppliers in regards to VIP training, monthly reports and pricing discrepancies.
  8. Create and maintain accurate roster of current Sales Representatives for distribution of company or brewery sponsored clothing.
  9. Communicate package beer items with deposit to OBRC.
  10. Develop and disseminate monthly post-offs by the 15th of each month.
  11. Maintain accurate calendar of master seasonal, events by location and schedule for the beer trailer.
  12. Process invoices for samples and donation requests.
  13. Input and code craft beer related expenses.  Review G/L to ensure accurate coding and code expenses and review all G/L lines for proper coding.
  14. Record and track monthly marketing spending for top suppliers.
  15. Approve and process all bill backs from spending and sample/donation accounts for all locations.
  16. Report account information as requested by Sales Representatives, Sales Managers and suppliers.
  17. Coordinate, plan and execute trade shows by securing venues, equipment rental, food, banners, glassware, invites, manage RSVPs, set up and clean up.
  18. Attend trade shows, events and festivals.
  19. Perform other general administrative tasks to support the Director of Craft Beer.
  20. Regular and reliable attendance.



 Work Environment

This job operates in multiple work environments including but not limited to a professional office environment, warehouse, and is occasionally in the trade or traveling to breweries.  This role routinely uses standard office equipment such as computers, phones, printers, filing cabinets and fax machine.  This position may be exposed to outside elements and inclement weather when traveling to and from locations.



 Required Education and Experience

  1. High School Diploma or GED Required
  2. Three years of related business experience in marketing, accounting or business administration


Preferred Education and Experience

  1. Bachelor Degree
  2. Beverage/Beer Industry experience
